Introduction
Refugees Welcome Hounslow (RWH) is one of about 100 citizens-led Refugees Welcome groups across the UK. We are a registered charity of local residents who actively welcome refugees and asylum seekers into the London Borough of Hounslow.
This policy applies to information RWH collects about individuals who interact with the organisation. It explains what personal information RWH collects and how it is used.
RWH understands that privacy and the security of personal information is extremely important and we are committed to protecting and respecting privacy. RWH’s aim is transparency about what happens to data and commitment not to do anything with it that could not be reasonably expected. RWH commits to only using any information collected about supporters lawfully.
1. Personal data that RWH processes
This section explains the types of data, the purpose for the data, the basis on which RWH may collect the data, and the legal basis, under current data protection legislation, on which this data is processed.
- Enquiring about RWH and its work: Name, email, message, legitimate interests. It is necessary for RWH to read and store message in order to respond accordingly.
- Subscribing to email updates about work of RWH: Name, and email where correspondent has given active consent to have data stored.
- Donating: Name, email, address, payment information, and legitimate interests. This information is necessary for RWH to fulfil the intention of donating money and expectation of receiving a confirmation message.
- Volunteering: Name, email, address, date of birth, experience, interest, DBS details, reference details, and legitimate interests. This information is necessary for RWH to fulfil the intention of volunteering and processing the application. In this circumstance, RWH may gather personal information INDIRECTLY, when information may be shared with RWH by a third party. For example, a volunteer may come recommended to RWH as by a friend or other charity. RWH may also contact a named referee for a reference.
- Individuals receiving help from RWH: Name, email, address, date of birth, additional special or sensitive personal data and legitimate interests. This information is necessary for RWH to fulfil the stated intention to help the individuals.
- Social Media: Depending on settings or the privacy policies for social media and messaging services like Facebook, WhatsApp or Twitter, permission may be given for RWH access information from those accounts or services.
- Children’s Data: RWH collects data from and relating to children whom RWH are supporting. This will never be used for any other purpose and never without a parent’s or guardian’s consent.
